Visa Information
Please check the South African Department of Home Affairs Website for information on applying for a visa. Note that a visitor’s visa is the visa type required to attend a conference (not a work visa).
The page also contains a link to the list of countries that are currently except from needing a visa.
If you need a visa, please send us proof of payment for the conference and your accommodation and we will send you a letter of invitation.
Use this handy checklist to ensure the visa process runs smoothly:
South Africa Visitor Visa Application Checklist
☐ Check if you need a visa (some nationalities are visa-exempt).
☐ Completed visa application form (BI-84).
☐ Valid passport (at least 30 days after departure, with 2 blank pages).
☐ Two recent passport-sized photos.
☐ Proof of financial means (bank statements, payslips, etc.).
☐ Proof of payment for conference and accommodation (hotel booking or invitation letter).
☐ Return or onward flight ticket.
☐ Proof of travel insurance (if required).
☐ Visa fee payment receipt.
☐ Yellow fever vaccination certificate (if applicable).
☐ Submit application at nearest South African Embassy/Consulate.
☐ Allow 5–15 working days for processing (apply at least 4–6 weeks before travel).
☐ Prepare documents to show on arrival: proof of funds, return ticket, accommodation.

Free Internet Access
There is free wifi available throughout the common areas of the conference venue and hotels.
Plug Points
South African plug points are different to those found elsewhere in the world. Remember to bring along a universal adapter that you can use to charge your laptops, batteries etc. South African plug points are three-pin, rounded plugs. Climate
In mid-October, Cape Town is moving from spring into early summer, so the weather is usually:
🌤 Mild and pleasant
- Daytime highs: around 18 °C – 24 °C
- Nighttime lows: around 10 °C – 14 °C
💨 Wind
- The famous Cape Doctor (south-easterly wind) begins to pick up in October, though it’s not yet at full summer strength. Some days can be breezy.
☔ Rain
- October is generally drier than winter, but there can still be a few light rain showers—especially early in the month.
🌸 Spring feel
- Gardens, vineyards, and the Cape floral kingdom are in bloom, making it a colourful time to visit.
🌊 Sea conditions
- The Atlantic Ocean is still cold (14 °C – 16 °C), though beaches start becoming popular on warmer days.
What To Pack
- Sun protection: Hat/cap, sunglasses, high SPF sunscreen
- Clothing: Light, breathable daytime wear; warm layers for mornings and evenings
- Footwear: Comfortable walking shoes for excursions; closed shoes for restaurants
- Dining & Networking: Smart-casual attire; jackets optional, ties not required
- Golfers: Standard golf attire with collared shirts and appropriate shoes
- Extras: Binoculars and camera for sightseeing, personal medication, international plug adapters, and your outfit for our Gala Dinner!
Tip: Cape Town’s spring weather is mild but changeable — layers are key for comfort throughout the day.
